The parts can be inserted from individual records or in batches by importing .csv files..
To batch load parts, follow these steps:
- Select the Settings| General | File Imports option or access the parts list (Parts and Inventory | Parts) and select the Import Parts option;
- The import screen will be displayed;
- Select the Import Parts option;
- Download the template file at the top of the screen and fill it in according to the following rules:
- The PartKey, Description, PartType, BaseUnit and Warehouse fields are mandatory.
- If the PartKey field is not filled in, the line will be ignored.
- If the Family and FamilyDescription fields are set, the family will be created or updated. The same applies to the Warehouse, Brand, BrandModel and PartSubType fields, with the corresponding references:
- Warehouse and WarehouseDescription;
- Brand and BrandDescription;
- BrandModel and BrandModelDescription;
- PartSubType and PartSubTypeDescription;
- If the Family field is filled in, you must also fill in the FamilyDescription field;
- If the Warehouse field is filled in, you must also fill in the WarehouseDescription field;
- If the Brand field is filled in, you must also fill in the BrandDescription field;
- If the BrandModel field is filled in, you must also fill in the BrandModelDescription field;
- If the PartSubType field is filled in, you must also fill in the PartSubTypeDescription field;
- If the Warehouse Location field is filled in, you must also fill in the Warehouse Location description field for the warehouse location to be created;
- To create a part with inventory, the Warehouse field must be filled in.
- When the import is complete, the import date will be displayed. Messages with the import details will be displayed if there are any errors or warnings. If the import occurs without errors/warnings, no additional information will be displayed. If there are errors/warnings, you can check by clicking on the number of messages.
- The file links must be added in the Attachment1, Attachment2...Attachment10 columns. Each record has a maximum limit of 10 attachments. If this value is exceeded, the attachments will not be added. For example, if a piece already has four attachments, only six more attachments will be added.
- If you redo the import, the parts attachments will be added again, regardless of whether they have already been added in another import.
- Attachments must be stored on Dropbox, GoogleDrive or another storage service that provides a direct download link.
- The image of the part must be stored on Dropbox, GoogleDrive or another storage service that provides a direct download link..
- The value format of the MinStock, MaxStock and UnitCost fields must be in the format of the selected culture.
- The file must always be a CSV file and the separator icon must be the ; (semicolon);
- Each file should not contain more than 2,000 records or 4 Mb.
- Each file must not contain more than 7,500 attachments or 4 Mb.
- The average upload time for each attachment or image is around 1.3 seconds. However, this may vary depending on the size of the file, internet speed, storage service and other factors external to Valuekeep.
You must not remove or add columns to the downloaded template file.
