How to create work orders from preventive maintenance events?

You can create work orders from preventive maintenance either automatically or manually, based on defined events.

You can also create batch work orders for multiple events.


Automatic creation

To automatically create a work order from a preventive maintenance event, you must:

  • In the preventive maintenance data sheet, set the status in which the work order is created in the WO Status field on the Work Orders tab;
  • Ensure that automatic rescheduling of events is enabled in the settings.

On the day the event takes place, when the service is performed, the work order is automatically created and associated with the respective event.


Manual creation

To manually create a work order from a preventive maintenance event, follow these steps:

  1. Access Work | Preventive Maintenance | Prev. Maint. Events;
  2. Select the desired event;
  3. Click Operations, and then click Create Work Order.

The Expected Duration field in the work order is filled in based on the sum of the Expected Duration field in the preventive maintenance plans and/or the sum of the tasks in the plan.


Batch creation

You can create work orders for multiple events at the same time.

To do this, follow these steps:

  1. Access Work | Preventive Maintenance | Prev. Events Management;
  2. Apply the desired filters from the following:
    • Preventive Maintenance;
    • Workshop;
    • Start and End Dates;
    • Asset;
  3. Click Apply;
  4. Select the desired events;
  5. Click Create WO or Create WO and Print.
Notes:
  • The dates used in the filters correspond to the expected dates of the events;
  • When the print option is selected, the document becomes available after processing;
  • The user is notified when the process is complete and can download the printout from the notification area;
  • You can check the processing status using the View Status option.

General rules

When creating a work order, the following rules must be considered:

  • Work orders can only be created for active events;
  • The event cannot already have an associated work order;
  • A work order can only be created if the preceding event has an associated work order.
