How to manage preventive maintenance events?

Preventive maintenance event management allows you to recalculate events, adjust dates, and understand the rules that influence how events behave over time.


Reprogram preventive maintenance events

The recalculation of preventive maintenance events is a daily process that recalculates all preventive maintenance events.

This recalculation can be done automatically or manually.

To have the recalculation performed automatically, follow these steps:

  1. Access Settings | Work | Background Services;
  2. Enable the Enable Event Rescheduling option.

To recalculate manually, follow these steps:

  1. Access Work | Preventive Maintenance | Preventive Maintenances;
  2. Select the desired preventive maintenance;
  3. Click on Operations, then on Reschedule Events.
If preventive maintenance has already been successfully recalculated on the same day (depending on the time zone), it will not be recalculated again.

Long-term event planning

Not all events are generated at the time preventive maintenance is approved. They are recalculated over time, according to a set of rules.

Events based on recurrence

  • Daily plans: are scheduled for a maximum of 2 years;
  • Monthly plans with terms up to 24 months: are scheduled for up to 4 years;
  • Monthly plans with a term longer than 24 months: can be scheduled for up to 10 years.

Meter-based events

The projection depends on the frequency of the events, calculated based on the meter reading average:

  • Up to 7 days: are scheduled for up to 2 years;
  • From 8 to 365 days: are scheduled for up to 4 years;
  • From 366 to 730 days: are scheduled for up to 8 years;
  • More than 730 days: are scheduled for up to 10 years.

Events based on recurrence and meter readings

The projection deadline is defined based on the recurrence or meter rules, and the one resulting from the interval between events is applied.

These rules apply to the approval of preventive maintenance and to each recalculation.

Change the date of an event

You can change the date of an event on its details page.

To do this, follow these steps:

  1. Access Work | Preventive Maintenance |Prev. Maint. Events;
  2. Select the event;
  3. Click Edit;
  4. On the Scheduling tab, change the Fixed Date field;
  5. Click Save.

Any change to an event's date must comply with the following rules:

  • The new date cannot be earlier than the previous event or later than the next one;
  • When preventive maintenance is rescheduled (either automatically or manually), events with a fixed date retain their original date;
  • If preventive maintenance automatically creates a work order, it will be created on the new event date;
  • If the event already has an associated work order, the date cannot be changed.
If you need to reset the original date, simply remove the value from the Fixed Date field. The next time the system recalculates, the Expected Date will be updated automatically.

Calculating events with meters

When preventive maintenance has an associated meter and uses scheduling criteria based on the opening or closing of work orders, the cumulative value of the event is updated based on the meter’s latest reading.

This occurs when:

  • The work order has an associated preventive maintenance event;
  • The event is the most recent one with an associated work order;
  • There is a meter associated with the preventive maintenance plan;
  • The scheduling criterion is opening or closing.

When the work order is opened or closed, the event value is updated with the current meter reading. In the next recalculation, future events are calculated based on that value.
