While executing a work order, it is necessary to record related information, such as tasks, readings, verifications, and failures.
Record additional tasks
To add new tasks to a previously created work order, follow these steps:
- Go to Work | Work Orders;
- Select the desired work order;
- Open the Additional Work tab;
- In the list that appears, click the + button;
You can only add tasks when the work order is in a status that allows work reporting.
Record readings and values
Whenever the work order status allows work to be recorded, meter readings can be associated with it, provided that the asset has associated meters.
It is also possible to record monitoring values when the work order asset has associated monitoring, and the status allows work to be recorded.
Meters
To record meter readings, follow these steps:
- Go to Work | Work Orders;
- Select the desired work order;
- Click Operations, then Meter Readings;
- View the list of meters associated with the work order asset;
- Enable the Load Child Asset Meters option to include all meters from the work order asset's child assets that do not have a parent meter.
Note: The recorded values cannot be edited.
Monitorings
To record monitoring values, follow these steps:
- Go to Work | Work Orders;
- Select the desired work order;
- Click Operations, then Monitoring Values;
- View the list of monitorings associated with the work order asset;
- Enable the Load Child Asset Monitorings option to include all monitorings from the child assets of the work order asset.
Note: The recorded values cannot be edited.
Verify tasks
Work orders may include tasks from maintenance plans or additional tasks that require verification.
When a work order is in a status that allows work to be recorded, you can verify the tasks.
Record task verification
To verify tasks, follow these steps:
- Go to Work | Work Orders;
- Select the desired work order;
- Click Operations, then Task Verifications;
- Click Verify;
- Select the desired task(s);
- Fill in the following fields:
- Verification Date;
- Verification Type;
- Remarks, if applicable;
- Click:
- Save;
- Save and Apply to All (for routes).
Before registering, please take the following points into account:
- Only tasks associated with the work order can be verified;
- If the work order is associated with equipment, a tool, or a location, that asset is automatically set and cannot be changed;
- If the work order is associated with a route:
- It is possible to select an asset to verify;
- Only assets that were part of the route when the work order entered a status that allows work to be recorded, or at the time the request was recorded (when the work order originates from a request), can be selected;
- The verification date may be earlier than the work order creation date;
- Only one of the fields (Equipment, Tool, or Location) may be filled in;
- With the Technical role, the verification can only be linked to the authenticated user themselves;
- The workshop manager responsible for the work order can create, edit, and cancel records.
Edit task verification
To edit a task verification, follow these steps:
- Go to Work | Work Orders;
- Select the desired work order;
- Click Operations, then Task Verifications to access the list of task verifications;
- Click Verify to go to the task verification record editor, where tasks that have already been verified are marked;
- Modify the displayed data as needed:
- Verification Date;
- Verification Type;
- Remarks;
- Click:
- Save;
- Save and Apply to All (in the case of routes, it creates verifications for route assets that have not yet been recorded).
- Existing records are not modified; only the record being edited is updated;
- To edit verifications for another asset:
- Select the desired asset;
- Proceed with the editing.
Delete task verification
To delete a task verification, follow these steps:
- Go to Work | Work Orders;
- Select the desired work order;
- Click Operations and then Task Verifications to access the list of task verifications;
- Click Verify to enter the task verification record editor;
- Uncheck the desired task(s);
- Click Save;
- The selected records will be deleted, and if you select tasks that did not have a record, a record will be created.
Record failures
The failure record allows you to enter failure situations related to assets (equipment or tools) into the system for subsequent follow-up and treatment in maintenance. You can only create a failure associated with a work order.
To create a failure, follow these steps:
- Go to Work | Work Orders;
- Select the desired work order;
- Click Operations and then Failures;
- Click Create;
- Fill in the necessary data.
When creating or editing failures, the following aspects should be considered:
- You can only create failures if the status of the work order allows you to record work;
- You cannot create failures with a future date;
- By default, the asset is the one specified in the work order;
- If the work order is for a route:
- Select the asset type;
- You can select any asset from the route or its sub-assets;
- The asset can be changed to a child element;
- On the Typifications tab:
- Symptoms, causes, and actions can be associated;
- If there are typifications configured for the equipment/tool family, only symptoms, causes, and failures from that family can be selected;
- Symptoms, causes, and actions cannot be repeated within the same failure;
Failures can only be deleted when the status of the work order allows work to be recorded.
Record downtime
You can record downtime associated with the assets in a work order.
To do so, follow these steps:
- Go to Work | Work Orders;
- Select the desired work order;
- Click Operations, then Downtime;
- Set:
- End date;
- Cost of downtime (optional);
- Start date (optional): by default, the system suggests the transition date to a status that allows downtime to be recorded as the start date, but this can be changed;
- Click:
- Save and Return: saves the downtime records and returns to the work order maintenance window;
- Save and Apply to All: saves the downtime records (including child assets) and returns to the work order maintenance window.
