How to use the work manager’s dashboard?

The work manager dashboard allows managers to monitor the main updated data and indicators for the workshops where they are managers.

The information is displayed by workshop manager and is organized into two areas:

  • Overview;
  • Operational Area.

Overview

The Overview presents the following charts:

Requests

Displays the number of requests created by the user, compared to the same period in the previous year.

This information can be grouped by:

  • Year;
  • State;
  • Type.

The chart includes a counter with the total number of requests for the current year and the year-on-year change in percentage.

The year-on-year change is calculated as the difference between the requests created in the current year and those in the previous year, divided by the number of requests created in the current year.

Preventive

Displays the number of preventive maintenance tasks created by the user or the workshops where they are a manager, compared to the same period in the previous year.

This information can be grouped by year and execution.

The chart includes a counter with the total number of events from preventive maintenance where the user is the manager.

Work orders

Displays the number of work orders created by the user and the workshops where they are the manager, compared to the same period in the previous year.

This information can be grouped by:

  • Year;
  • State;
  • Type.

The chart includes a counter with the total number of work orders created by the userin the current year or work orders where they are the workshop manager.

The year-on-year variation is calculated by the difference between the number of work orders in the current year and those in the previous year, considering the work orders created by the user and those from the workshops where they are the manager, divided by the total number of work orders in the current year.

SLA (Service Level Agreement)

Displays the overall SLA compliance percentage, compared to the same period in the previous year and the variation relative to the previous year (only for OTs).

This information can be grouped by year and type.

The year-on-year change is calculated as the difference between the total percentage of SLA compliance for the current year and the percentage recorded in the previous year.

SLA calculation formula: no. of WOs that complied with the SLA / total no. of WOs.

The amount shown is cumulative, i.e., it includes the period from the beginning of the year to the current month.

A work order complies with the SLA when:

  • The end date has been met and is prior to the expected end date;
  • If the SLA end date is not filled in, it is earlier than the current date.

For this indicator, only work orders that have the SLA start date filled in and are not in the Canceled status are considered.

Average response time

Displays the average response time.

This information can be grouped by year and type.

The chart shows the information in hours and compares the following values:

  • Average Approval Time: difference between the date of creation of the WO and the first transition to a state that allows assignments;
  • Average Opening Time: the date of the first transition to a state that allows assignments and the date of the first transition to a state that allows work registration;
  • Average Execution Time: difference between the date of the first transition to a state that allows work registration and the end date of the WO SLA;

Costs

Displays costs.

This information can be grouped by:

  • Cost;
  • Type;
  • Year.

Other information

The dashboard also displays the following information:

  • Work orders pending closure for more than 30 days: all work orders from workshops where the user is the manager and which are in a state prior to the final state and have not been canceled for more than 30 days;
  • Equipment unavailable for more than 7 days;
  • Tools unavailable for more than 7 days;
  • Locations unavailable for more than 7 days.

Note: each piece of data presented includes an indicator which, when selected, opens a detailed list with the corresponding information.


Operational Area

The dashboard's operational area displays the top five entries from the following lists:

  • Requests Due: requests that are neither in final state nor canceled;
  • Preventive Due: events from preventive maintenance created by the user or from workshops where they are the manager and for which no work order has yet been created;
  • Work Orders Due: Unresolved work orders: work orders created by the user or by the workshops where they are the manager and which are neither in the final state nor canceled;

The lists are organized into four periods:

  • Older;
  • This Week;
  • Next Week;
  • Future.

Each list has a View All option, which displays the complete list.
